Bank Deposit:
To view the totals necessary for a bank deposit, click the Reports icon and choose Bank Deposit.... (When signed in as a teller, go to the Teller menu and choose Bank Deposit.) To view today's deposit, just click OK. If you are grouping several days worth of donations into one bank deposit then enter a date range. When you have different deposits for each service or event, choose which ones you want the deposit for.
You have a choice of whether to show the following or not:
a) each donor's name,
b) a list donations for all payment types or only for checks, You have a choice of sorting the list by: name/donor#, envelope #, the order you entered them in, the donation amount or the check number.
c) each donor's bank and branch for the list of checks, (The bank name and branch is entered in the donor info window.)
d) when you receive large quantities of coins you will probably put them into coin rolls and want to show how many rolls there are.
You may show your church's/organization's bank account on the deposit by associating the bank account with the categories that correspond to it. If you have several bank accounts, add them all. When you do the deposit, each bank account will be shown on a separate page. (You can have up to 5 bank accounts)
When you have some donations in a foreign currency you will have the choice of combining the domestic and foreign currencies together onto one report or separating them into two reports because they go into separate bank accounts. To separate them, edit the category and indicate which bank account is for domestic currency and which is for the foreign one. If both are deposited to a single account then they will be combined. When they are combined, you need to indicate the exchange rate to use when converting between currencies.
The bank deposit report will show the following:
1. A list of each check showing the check number and check amount. You will also have a list of each other donation if you selected to show them. Each donor's name may be shown too.
2. A break-down of the quantity of each cash bill received plus coins giving the total cash. If you have setup the sizes of coins then the quantity of each coin will also be shown.
3. The total amount of: checks, cash, credit cards, etc.
For this report to be correct you must enter how each donation was paid. Also you should setup two donors to record the loose bills and loose coins.
