Using a Check Reader/Scanner

You can speed up the entering of donations by using a check reader/scanner.  This reads the transit number and bank account number at the bottom of a check.  It also reads the check number.  When you scan a check, Donarius will find the person with that account number and you just need to enter the amount given.  Before scanning a check, put the cursor in the Donor# or Env# box.

The first time you scan a check for someone, of course, it will not find them. Just find the person and the bank information will be linked to them when you type the first digit of the amount.  The check # will be displayed at this point too.

If you find that the wrong person is showing up when you scan a check, there are two possible reasons:
a) Two people have an account at the same bank with account numbers that are almost identical. (For security purposes, Donarius does not store all the digits of the transit/account numbers so it sometimes sees different accounts as being the same.)  In this case find the correct person and enter the amount.  Then next time you scan a check for that person it will show a list of names and you can pick the correct person.

b) the wrong person got indavertently linked to that account.  In this case, remove the link to the bank by going to the Action menu and choosing Remove Link to Bank.  To link the check to the right person, scan the check again, then find the person.

Any check reader/scanner will work as long as it has one of the following interfaces:

  keyboard wedge or
  USB with keyboard emulation

A popular model is the MICRSafe check reader with USB keyboard emulation (item # 22551002) from MagTek (www.magtek.com). The cost is about $160 US including the cable.
