Labels for Envelope Boxes

To indicate who gets a new box of envelopes you can print a label to put onto each box:

1.If you have not printed labels for mailings (as described in Labels/Envelopes) then print a few mailing labels by choosing View Labels/Envelopes... from the Mailings icon.  Use blank paper, to check if the position of the printing is correct.  If necessary, adjust the margins by choosing Setup Labels/Envelopes... from the Mailings icon and try again.

2. Click the Re-assign Envelope Numbers icon.

3. Look near the bottom of the window and choose what you want on each label.  They will have the donor's name and their envelope number with or without their address.  You can also pick the donor's name by itself. (Only donors with an envelope number will get a label.)  If you pick a large font size for mailings (18 points or more), the name will be split onto two lines.

4. Enter a range of envelope numbers to print. If you need only one label put the same number in the From and To boxes.

5. Choose how you want the labels sorted.  To sort by envelope number put a checkmark where it says Sort by envelope #.  To sort by name remove the checkmark.  When you use mailboxes you will also have the option to sort by the mailbox #.

6. Labels will be printed on the label sheets you use for mailings.  Indicate which label to start or end at when printing the first label sheet.  This enables you to use a sheet of labels that has been partially used already.  To avoid label sheets from getting stuck in your printer you should indicate what label to end at on the first sheet to be printed on.  This way it will use the labels near the bottom of the sheet. For example, on a standard sheet with 30 labels, you would indicate to end on label number 30.  After printing several sheets of labels, suppose it prints only 10 labels on the last page - it will print on the bottom 10 labels.  (labels 21 to 30)  Then the next time you print labels you can re-use the same sheet so it is the first to be printed on and it will end on label number 20.

7. Turn on the printer and put the label sheets into the printer.

8. Click the Print Box Labels button.

9. Attach each label to the corresponding envelope box.
