Using Donarius® on several computers

Donarius® can be used on two or more computers (for example: at home and at the church).  There are two ways to do this:
a) use a memory stick or CD to transfer the data from one computer to the other
b) use a data sharing service to share files over the Internet

For the first method, install Donarius® on all computers.  Then decide which computer will be used most often.  On that main computer use Donarius® as described in this help file.

To use Donarius® on the other computers:

1. Go to the main computer and make a backup of your data to a memory stick or CD. Do this by clicking the word Backup near the bottom right of the main window.

2. Go to the another computer and copy the data from the memory stick or CD to it.  Do this by clicking the word Restore.

3. Use Donarius® as needed.

4. When you are finished using Donarius® on the other computer, make a backup of your data.

5. Go back to the main computer and restore the data to it.  If on the other computer you are only adding new donors and new donations then choose Add new data from the backup disk to current files.  If on the other computer you have made any changes, then choose Replace current files with files from the backup disk.


Sharing data over the Internet:

If instead you want to share data over the Internet, you have to install the software in a different way.  You need to use one of these data sharing services: Dropbox, Backup & Sync (was called Google Drive), OneDrive, Sync, SpiderOak, TeamDrive or Good Sync.  In Canada we recommend you use Sync or Good Sync because the CRA requires Canadian charities to store their data in Canada (i.e. not on a US server).  Sync stores your data in servers in Canada (Toronto). Good Sync does not store your data on any server but transfers data directly from one computer to another.

If you want to share data between two Macs or a PC and a Mac follow these steps.

To share data between PCs follow the steps below.

On the computer with the Donarius data do this:
1. Go to the website of the data sharing service.
For Dropbox, click here: DropBox then click on Download or Sign Up.  A Dropbox folder will be created on your desktop.

For Backup & Sync (was called Google Drive), click here: Backup & Sync.  On the left side click where it says, Backup and Sync click on Download.  Download and install the app.  A Google Drive folder will be created on your desktop.

For OneDrive, click here: OneDrive then click on Sign Up. A OneDrive folder will be created on your desktop.

For Sync, click here: Sync then click on Signup up free and follow the instructions. A data sharing folder with the company name will be created in your Documents folder.

For SpiderOak, click here: SpiderOak then click on TRY FOR FREE or SIGN UP. A SpiderOak folder will be created on your desktop.

For TeamDrive, click here: TeamDrive then click on Download TeamDrive Free.  You have to create a data sharing folder as follows:
a) Open the TeamDrive main window.
b) Click on Create Space.
c) Click on Create a new Space.
d) For the Name of the new Space type TeamDrive.
e) Click Next >>.

In each case, you will have to setup an account with them.

For Good Sync, follow follow these steps.

2. Move the entire Donarius folder on your C: drive to the data sharing folder. (Don't move the Donarius folder that is on the desktop.)
    To move a folder do this:
    a) Double-click the data sharing folder to open it up.
On TeamDrive you need to first go to My Documents and open the Spaces folder and you will find TeamDrive in there.
    b) Go to My Computer and open up your C: drive.
    c) Move and/or resize the windows so you can see both the data sharing folder and the C: drive window.
    d) "Drag and drop" the Donarius folder to the data sharing folder.

3. Create a shortcut that points to the file DONARIUS.EXE in the data sharing folder. You double-click this shortcut to start the software.
    To create a short-cut do this:
    a) Right-click on a blank area of the desktop
    b) Move the mouse to New then click Shortcut
    c) Click the Browse button.
    d) Click on the + in front of Documents
    e) Click on the + in front of My Documents
    f) Click on the + in front of the data sharing folder.
    g) Click on the + in front of Donarius
    h) Select Donarius.exe then click OK.
        If it does not have .exe at the end then just select the one
        that is Donarius by itself. Don't select Donarius.phf
    i) Click Next >
    j) Type a name for it such as Donarius
    k) Click Finish.

4. Do not shut down your computer for a few minutes. Wait for the data to be uploaded to the data sharing website. You will see an icon at the bottom right (in the system tray) which will change color when it is finished.

On all the other computers, do this:
1. If Donarius is installed there, then uninstall it.
2. Download and setup the data sharing folder with the same account as the first computer. Wait a few minutes for the Donarius files on the first computer to be automatically copied to the other computer.  Sometimes the icon says it is finished syncing but it really is not.  Wait at least 5 minutes after it says it is finished.

If you are using Sync click here to download the desktop app.  After installing you will be prompted to create a new account or use an existing one.  Enter the email address and password you created on the first computer.  Then the files will be copied to their computer.

If you are using TeamDrive, you need to go to the computer with the first copy and open the TeamDrive main window.  Right-click on the TeamDrive folder and select Invite All My Devices.  Wait a few minutes and then on the other computer you will get a message to accept the invitation.  Then the files will be copied to the other computer.

3. Create a shortcut that points to the file DONARIUS.EXE in the shared folder. Donarius is now ready to use on this computer.

When you start Donarius, it will first check if there are any other users accessing the data.  (Only one user can be using it at a time.)  For Dropbox, Google Drive, OneDrive, Sync and Good Sync this is quick but for SpiderOak and TeamDrive it takes 1-2 minutes.

You should still make regular backups because if a file gets damaged on one computer it will copy the damaged file to all the other computers too.
