View/Print a Church/Donor Directory

A church/donor directory is shown and printed as follows:

1. You can print a directory with or without pictures of each family/person. To do a photo directory (pictorial directory) you need to set the image of each family and/or individual.  Store the images anywhere on your computer, then add the photo to each family's record by following these steps. You must purchase the Photo Directory module to have images.

2. Decide how many different sections you want in the directory.  For example for a church you may want to have three sections for:
a) the staff of the church
b) the missionaries that the church supports
c) the people who regularly attend the church
For the people in each section you need to set up a donor type or characteristic so you have something to distinguish between the people in each section.  For example the above church could add two new donor types or donor characteristics: Staff and Missionary.  To add or change donor types and characteristics, click here.

3. Click the Donors icon and choose Donor Directory....

4. Enter the number of sections you want.  Each page of the directory will be numbered, so give the page number that is to appear on the first section.  Also if you want any blank pages to appear before the first section then indicate how many.

5. Choose the format of the directory: 8.5 x 11 or 5.5 x 8.5.  The first one is a full page printed in portrait mode. Each member's name address is shown one page, then all the pictures are shown later. (Indicate how many columns of names you want.)  For the second format each page of the directory will print in landscape mode on regular 8.5" x 11" paper.  The names will be printed in two columns and both sides of each sheet will be used.  The pages will then be stapled in the center and folded to make a booklet that is 5.5" x 8.5".  As the directory is opened you will have pages on the left side and pages on the right.  At the top of the left side you will have the name of the church/organization. If you are showing more than one phone number, the left side will have the order they are in.  At the top of the right side you will have the month and year that the directory was printed.  Change the headings if you would like something different.

6. Find out what order your printer prints pages.  For example, if you were to print pages 1,2 and 3 of a document, most printers will print the pages in that order. Some printers will print the third, second and first page in reverse order.  In this case check off the box Printer Prints Pages in Reverse Order.  Otherwise uncheck the box.

7. Find out how your printer stacks pages as it prints them.  For example suppose you print a document of several pages.  After all pages have finished printing you pick them up and turn the sheets so you can read what was printed.  If you see the last page that was printed, then the pages are stacked in reverse.  Check the box Printer Stacks Pages in Reverse Order in this case.  Otherwise remove the checkmark.

8. Enter a heading for the people in the first section. (There is a heading on the left side and one on the right.  For a full page directory the heading is usually the name of the church/organization. When the right heading is blank, the heading is centered on the page.  You also have the option of showing the address and/or the phone#.

9. Choose whether you want the donor type, characteristics, birthday and/or a count of the number of donors shown in the directory.  When some donors have a symbol for the abbreviation of a donor type, that can be shown after the name by unchecking the donor type.  Only the donors with the symbol will have it shown.  For example, you may want to have an asterisk (*) beside all members.  Just select an asterisk as the abbreviation for the Member donor type.  Also, if you  purchased the Relationships & Families module, indicate whether to show the parents' birthday, children's birthday and/or the anniversary.

10. If children have their own phone# and/or email address and you want them to be shown, you should put a checkmark where it says: Each child separately. (This is only available if you have the Relationships & Families module.)

11. Choose the donor types and/or characteristics that identify the people in this section.

12. Choose which phone numbers and/or email addresses to show for this section. The meaning and order of each phone number and email address can be changed by going to the Add/Edit Donors... window and clicking on the heading for the phone numbers or email addresses.  The meanings of each phone number will appear in the heading on each page.  If you don't want them shown, remove the checkmark where it says Show tel# names in heading. A donor list will have the same phone numbers that are shown on the last section of the donor directory.

13. Click Next Section. Repeat for all the sections then on the last section click Last Section.  One of the sections can have a blank heading.

14. The names will be shown on screen in the order they are to appear in the directory. When doing a 5.5 x 8.5 format, you will not see a left and right side as it will appear on paper. But it will print this way.

15. If you have purchased the Relationships & Families module and entered all the members of each family as relationships, then they will be shown.  The husband and wife will be on one line and children on the next line. (If a family member has an address they will be shown separately.) For example, John and Mary Smith have two children: Peter and Linda.  The family would be shown like this:
 SMITH, (John & Mary)
 (Peter, Linda)

16. Each name/address will be shown with a single blank line between each, giving about 7-8 names per page depending on the font size you chose for reports.  If you want to reduce the number of names on each page add some more blank lines near the top right, where it says # of blank lines between donors.  When you are doing a 5.5 x 8.5 photo directory this will also increase the size of each family image.

17. If your printer prints double-sided (i.e. duplex) then you should go to the View menu and choose Printer Setup and set it to double-sided or duplex.  Then click on [Print] in the menu bar.

18. For a 5.5 x 8.5 format, if your printer can only print on one side, the first side of the pages will be printed then you will be asked to put the pages back into the printer to print the other side.  Wait for the printer to finish then put the pages in with the  other side facing so that the blank side will be printed on and click OK.  You will then see the print window, so click OK again.

19. For the 5.5 x 8.5 format, when the printer is finished, fold the bundle of pages in half and staple.

20. To print several copies of the directory, change the number of copies after you click on [Print] in the menu bar.

Note: You must convert the demo version of Donarius® to a full version to print more than 1 copy of the directory.
