Viewing and Printing Tax Receipts

To view tax receipts for one or all donors:

1. You have the option of printing tax receipts on standard 8.5" x 11" paper or using pre-printed forms.  Click here to see how to setup your receipts.

2. Click the Tax Receipts icon and choose View Tax Receipts...

3. If you want to see a tax receipt for only one donor enter a donor number or an envelope number then press TAB. When there are several donors with a similar last name you will see a list where you can choose the correct one. To see all the receipts, click the All Donors checkbox. To sort the receipts by the donor's envelope number choose Envelope # where it says Sort By. When doing 1 per donation receipts you may have already issued a receipt with a receipt number so you want to sort them in the order that you entered them.  When you are entering such donations, you will see what receipt# each person will get if you select Sort by order entered.

4. Give the year that you want tax receipts for or a date range if all your donors want a receipt with each donation.

5. If some donors want yearly receipts and some want one receipt per donation you will be given a choice of which receipts to show.  When doing one receipt per donation, a date range will be shown.  It will be the day after the last receipt was done, to today's date.  You can then change it if you wish.

6. Indicate whether to do the receipts for donors who want a paper copy or for those who want a PDF receipt emailed to them.  This choice is only available if you install one of the PDF printer drivers mentioned here.

7. For a large church or organization (ie. 150 donors or more) it may take a long time to print all the yearly receipts at once.  In this case you will be given a choice of how many yearly receipts to view (and print).  Enter how many receipts in the View this many receipts box.  (Type the word ALL or leave it blank to view all the receipts.)  After some of the receipts are printed, repeat these steps to view the next set of yearly receipts. You will be told that some tax receipts have already been printed and some others still need to be printed the first time.  This gives you the option of reprinting any that got damaged. To print the next set click Print receipts not done yet.

8. When you have a husband and wife as separate donors you have a choice of how to print their tax receipts.  You can either print a separate tax receipt for each of them or combine all their donations onto one tax receipt.   Usually they are combined onto one receipt.  Any donations by the children will also be included on the tax receipt.  To separate the husband's and wife's donations, go to the Add/Edit Donors window, find the husband or the wife, and put a checkmark where it says: Separate report for each. (You need to purchase the Relationships & Families module to do this)

9. If some of the donors are other charitable organizations you can print a statement for them by putting a checkmark where it says: Non-official receipts for other charities. When one charity gives money to another charity they are not entitled to an official tax receipt.

10. To issue a replacement receipt with a new receipt# follow these steps.

11. Click OK or press Enter.

12. If you are viewing the receipts for all donors, only one will be displayed at a time. Press Page Down or Page Up to view the next or previous tax receipt.  (You can also click on [Next] or [Previous] in the menu bar.)  Donors who do not live in your organization's country are called foreign donors. They can make donations in their own currency or in your country's currency.  Their tax receipts will show the currency used for their donations.

13. Turn on the printer. Click on [Print] in the menu bar then click OK to print the receipts.  If any receipts are damaged in the printer or missing they can be reprinted.

14. After printing a tax receipt the donor's information will have some items from the tax receipt.  Click the Donors icon and choose Add/Edit Donors....  On the lower right of the dialog box you will see the tax receipt number, the total donation on the receipt and the last date included on the receipt.

Note: The demo/trial version prints only sample tax receipts. You must convert the demo/trial to a full version to print official tax receipts.
 When you have setup user profiles, only a user with full access can view/print tax receipts.
